By accessing our premises, making a booking, creating an account, purchasing a membership, attending as a guest, contractor or visitor, or using any of our services, you agree to these Terms & Conditions.

2. Eligibility & Access

  • Bookings may only be made by individuals aged 18 or over.
  • Persons under 18 must be supervised by a responsible adult and may require parental or guardian consent.
  • We reserve the right to refuse entry or remove any individual from the premises at our sole discretion.
  • Access credentials, membership access and booking access may not be shared unless expressly authorised.
  • Booking holders remain responsible for all guests, contractors, freelancers, crew members and attendees associated with their booking.

3. Studio Bookings

  • All bookings are subject to availability and confirmation.
  • Bookings are confirmed only once payment has been successfully received.
  • Minimum booking durations may vary depending on the studio or service booked.
  • Booking time includes setup and teardown time.
  • Late arrivals do not extend the booking period.
  • Users may not enter studios before their allocated booking time unless agreed in advance.
  • We reserve the right to relocate bookings between studios where operationally necessary.

4. Payments

  • All prices are listed exclusive of VAT unless stated otherwise.
  • Payments are processed via Stripe or approved bank transfer.
  • Studio bookings must be paid in advance.
  • Certain production or editing services may require a deposit with remaining balances payable under agreed invoice terms.
  • Unpaid balances may result in suspension of access, cancellation of bookings or recovery action.
  • We reserve the right to recover reasonable legal, administrative and collection costs relating to unpaid invoices or breaches of these Terms.

5. Cancellations & Rescheduling

Studio Bookings

  • Cancellations made more than 10 working days before the booking date are eligible for a full refund.
  • Cancellations made between 7 and 10 working days before the booking date may receive a partial refund at our discretion.
  • Cancellations made fewer than 7 working days before the booking date are non-refundable.
  • No-shows are non-refundable.
  • Rescheduling requests follow the same notice periods as cancellations.
  • All cancellation and rescheduling requests must be submitted in writing via email or through the booking portal.
  • Phone cancellations are not accepted.

We reserve the right to cancel or suspend bookings:

  • for breaches of these Terms;
  • for safety concerns;
  • due to operational requirements;
  • due to force majeure events.

Where we cancel a booking outside of customer breach, our liability shall be limited to either:

  • rescheduling the booking;
  • issuing studio credit; or
  • refunding the affected booking value.

6. Overtime & Overruns

  • Overtime is subject to availability.
  • Any overrun beyond the allocated booking period may be charged at the applicable standard hourly rate.
  • Overtime charges are rounded up to the nearest full hour.
  • If another booking prevents overtime usage, users must vacate the studio promptly at the end of their booking.

7. Memberships & Credits

Memberships are governed further by our Membership Terms.

  • Credits are internal booking units with a nominal value of £1 per credit.
  • Credits are non-transferable, non-refundable and cannot be exchanged for cash.
  • Credits may only be used against eligible UPL Studios services.
  • Credits may roll over between billing periods.
  • Dormant accounts inactive for 12 months or longer may be archived and credits may expire.
  • We reserve the right to revoke credits obtained through fraud, abuse or chargeback activity.
  • Pricing may change over time and service costs in credits may vary accordingly.

8. Equipment Use

Users are responsible for operating all equipment safely, appropriately and in accordance with any guidance provided by UPL Studios.

Equipment must only be used for its intended purpose.

UPL Studios may provide inductions, guidance or assistance where appropriate, however users remain responsible for ensuring equipment is used safely unless expressly supervised by UPL Studios staff.

Users are responsible for checking recordings, files and media before leaving the premises.

Backup recordings, file redundancy and data recovery are not guaranteed unless expressly agreed in writing.

Any third-party equipment brought onsite remains entirely the responsibility of the user.

9. Damage, Cleaning & Loss

Booking holders accept full responsibility for:

  • damages caused by themselves;
  • guests;
  • contractors;
  • crew members;
  • suppliers;
  • attendees.

Users may be charged for:

  • damage to studios;
  • damage to equipment;
  • excessive cleaning;
  • waste removal;
  • repair costs;
  • replacement costs;
  • reasonable administrative costs;
  • operational downtime caused by damage.

Cleaning or restoration fees may apply from £50 upwards where spaces are not left in a reasonable condition.

The use of:

  • glitter;
  • confetti;
  • smoke effects;
  • atmospheric effects;
  • adhesives;
  • specialist rigging;
  • prop weapons;
    must be approved in advance.

Open flames and candles are prohibited.

10. Health & Safety

All users entering UPL Studios must comply with:

  • the Studio Safety Requirements;
  • all instructions issued by studio staff;
  • emergency procedures and site signage;
  • any additional safety requirements communicated in relation to specific bookings or activities.

Booking holders remain responsible for:

  • their own conduct;
  • all guests, contractors, freelancers, crew, suppliers and attendees associated with their booking;
  • ensuring activities are conducted safely and responsibly;
  • ensuring any third-party equipment brought onsite is safe, suitable and compliant with applicable regulations.

UPL Studios reserves the right to:

  • refuse entry;
  • stop activities;
  • remove individuals from site;
  • suspend or terminate bookings
    where activity is considered unsafe, unlawful, negligent or non-compliant with studio safety requirements.

Active studio and production environments inherently contain operational risks including, but not limited to:

  • electrical equipment;
  • lighting systems;
  • rigging;
  • manual handling;
  • trip hazards;
  • filming, photography and production activity.

UPL Studios implements reasonable safety controls to reduce foreseeable risks, however all users remain responsible for exercising reasonable care for their own safety and the safety of others while onsite.

Nothing in these Terms excludes liability for death or personal injury caused by our negligence where such liability cannot legally be excluded.

11. Insurance

UPL Studios reserves the right to require evidence of suitable insurance depending on the scale, risk profile or nature of a booking, production or equipment usage.

Users remain responsible for:

  • their own insurance;
  • guest insurance;
  • contractor insurance;
  • third-party claims arising from their activities.

12. CCTV & Monitoring

  • CCTV and audio monitoring systems operate throughout communal areas and studios for safety, security and operational purposes.
  • Recordings may be retained for approximately 30 days.
  • Recordings may be used:
    • for dispute resolution;
    • for security investigations;
    • for legal proceedings;
    • where required by law or authorities.

Tampering with security systems is prohibited.

13. Acceptable Use & Content Restrictions

The following are prohibited onsite or through use of our services:

  • unlawful activity;
  • hate speech;
  • extremist content;
  • discriminatory conduct;
  • harassment;
  • pornography or explicit sexual content;
  • defamatory content;
  • dangerous activity;
  • illegal substances;
  • unauthorised weapons;
  • copyright infringement;
  • threatening behaviour;
  • abusive conduct.

Prop weapons may only be used where approved in advance and compliant with applicable laws.

We reserve sole discretion to:

  • refuse productions;
  • halt recordings;
  • terminate bookings;
  • remove individuals;
  • deny refunds;
  • report unlawful conduct.

14. Filming Restrictions

  • Filming in communal areas requires prior approval.
  • Users must not film staff, members, visitors or third parties without appropriate consent.
  • Users are responsible for ensuring compliance with GDPR, privacy and image rights laws.
  • We may require deletion of unauthorised footage.

15. Noise, Technical Issues & Force Majeure

While we take reasonable steps to minimise disruptions, we do not guarantee:

  • uninterrupted power;
  • uninterrupted internet;
  • perfect sound isolation;
  • uninterrupted HVAC systems;
  • absence of environmental noise;
  • uninterrupted recording conditions.

Events outside our reasonable control may include:

  • power outages;
  • emergency services noise;
  • construction noise;
  • technical failures;
  • internet outages;
  • severe weather;
  • government restrictions;
  • building-wide issues.

Sound isolation is not absolute and conversations exceeding studio isolation thresholds may be audible externally.

Our liability for such events shall be limited to:

  • rescheduling;
  • studio credit; or
  • refund of affected booking fees.

We shall not be liable for:

  • loss of profits;
  • business interruption;
  • failed uploads;
  • corrupted recordings;
  • lost revenue;
  • reputational loss;
  • consequential or indirect losses.

16. Storage & Property

  • Storage of equipment or property onsite must be approved in advance.
  • Stored property remains entirely at the owner’s risk.
  • We do not insure customer property.
  • Property left beyond agreed collection periods may be treated as abandoned after 7 days.

17. Intellectual Property

  • Users retain ownership of content they create using the studios unless otherwise agreed in writing.
  • UPL Studios retains ownership of its branding, layouts, systems, assets and proprietary materials.
  • Users may not use our branding, logos or visual identity without permission.
  • We may retain editing project files and backups for up to 3 months unless otherwise agreed.

18. Confidentiality

We take reasonable measures to maintain privacy and security within our facilities, however:

  • confidentiality cannot be guaranteed;
  • sound isolation is not absolute;
  • users remain responsible for protecting sensitive or confidential information.

19. Suspension & Termination

We reserve the right to:

  • suspend access;
  • terminate memberships;
  • cancel bookings;
  • deny future access;
  • remove individuals immediately

where users breach these Terms or engage in conduct we reasonably consider unsafe, unlawful, disruptive or harmful to our staff, members, premises or reputation.

Failure to comply with:

  • studio policies;
  • safety procedures;
  • staff instructions; or
  • operational requirements

may result in immediate suspension of access, removal from site, cancellation of bookings or termination of memberships without refund where reasonably necessary to protect the safety, operations or reputation of UPL Studios.

20. Liability Limitation

To the maximum extent permitted by law:

  • our total aggregate liability shall not exceed the total fees paid for the affected booking or service;
  • we exclude liability for indirect or consequential losses;
  • users remain fully liable for damages, losses or claims caused by themselves or parties attending under their booking.

21. Disputes & Governing Law

  • Parties agree to attempt mediation before commencing formal legal proceedings.
  • These Terms are governed by the laws of England and Wales.
  • The courts of England and Wales shall have exclusive jurisdiction.
